2025 Festival Registration
Guidelines
Festival Date: Saturday, August 9, 2025
Location: City Park, Kingston, Ontario
Thank you for your interest in participating in the Women’s Art Festival. Please read the following guidelines carefully before registering. These ensure a safe, inclusive, and successful event for all.
Booth Registration Details
Registration Fees
Single Booth: $100
Double Booth: $200
Deadline: June 1, 2025
Payment Instructions
Please send payment via e-transfer to info@womensartfestival.ca.
Include your full name and business name in the message box.
If you are sharing a booth with another artist, only one person needs to submit payment, but both names and business names must be listed in the message.
All payments are final and non-refundable.
Booth spaces are assigned in the order payments are received.
Booth Set-Up & Display Requirements
Booth spaces are suitable for a 10’x10’ tent.
Double booths will be 10’ x 20’.
Booths will be marked with painted lines - please do not exceed your assigned space.
There will be no early set-up this year.
All set-up must take place on Saturday, August 9 between 8:00 AM and 10:00 AM.
All booths must be fully set up by 10:00 AM.
Additional details:
No staking into the ground is permitted. Please bring weights to secure your tent.
Artists are responsible for their own tables, chairs, and weather protection.
Displays must be secure, simple, and safe for the public.
There is no access to electricity.
Artists must be present at their booth for the duration of the festival. Friends or family may assist, but may not represent the artist.
Booth tear-down may begin only after the festival officially ends. Early tear-down is not permitted.
Product Requirements
All items sold at the festival must be handmade by the artist who is present at the booth.
Festival Merchandise
For the first time, we are thrilled to offer official Women’s Art Festival merchandise for sale.
T-Shirts: $30
Tote Bags: $25
Festival merchandise will be available at the Information Tent on August 9, 2025.
Artists may pre-order merchandise through the registration form. Quantities are limited, and pre-ordering is encouraged to guarantee availability.
Social Media Feature Opportunity
If you would like to be considered for a feature on the Women’s Art Festival Instagram account, please email 2–5 high-quality images of your work to arts@womensartfestival.ca.
Please note: submission does not guarantee inclusion on our social media platforms.
Accessibility
We aim to create a welcoming and accessible environment for all artists and attendees. If you have accessibility needs or considerations, please contact us at info@womensartfestival.ca. We are happy to work with you to ensure your participation is supported.
Environmental Considerations
In an effort to reduce waste and promote sustainability:
Please bring a reusable water bottle.
We encourage artists to avoid single-use plastics and opt for environmentally-friendly packaging and practices wherever possible.
Permits & Insurance
Food Vendors
If you plan to sell food items (packaged or otherwise), you are required to:
Obtain proper permits and licensing from the City of Kingston and KFL&A Public Health.
Submit digital copies of these permits to info@womensartfestival.ca by July 1, 2025.
Insurance Requirements
Due to City of Kingston regulations, all artists must provide proof of liability insurance (minimum $2 million coverage).
Deadline to submit proof of insurance: July 30, 2025
Artists who do not provide insurance by this date will not be permitted to participate and will not receive a refund.
Recommended provider: Duuo Vendor Insurance (we will be sending out the unique registration link affiliated with the Women’s Art Festival by April 30, 2025).
Security & Festival Conduct
Artists participate at their own risk. The festival is not responsible for loss, theft, or damage to artwork or personal items.
The Women’s Art Festival is a rain or shine event. Please plan accordingly.
All participants, including artists, guests, volunteers, committee members, and festival-goers, must be treated with respect at all times.
Absolutely no violence or aggressive behaviour will be tolerated. This includes verbal harassment or disrespect toward any member of the festival community. Anyone assisting with an artist’s booth or set-up is acting on behalf of the artist. If an artist or their guest displays inappropriate or disrespectful behavior, they will be asked to leave and will not be permitted to return in future years.
